MOVE IN and SET UP -
Friday, Aug 21 - Gates will be open at 9:00 am. You need to be set up by 3:00 pm.
There will only be security for the nights of the Faire ie Aug 21 & 22.
Tear Down and Move out: Aug 23 - 6 pm – 9 pm
Yard Plan
NOTE: In order to avoid raising our booth prices, there are no table and chairs included in your booth purchase.
What to bring with you for set up:
Table & Chairs - These are not supplied and there is no supplier at this venue.
Pop up Tent - This is an outdoor event! You will need a good quality 10x10 tent.
Secure your Tent - Appropriate tie downs and weight are needed for all outdoor booths.
Our Goal - to create an appearance of a marketplace allowing each vendor to display a uniqueness separate from her/his neighbor. We want people to remember and separate this event from the many other events "out there".
BOOTH CONTEST - we know that bringing in a tent and decor is a lot of work so we're going to make it worth your while. Throughout the show, we'll have a few peeps out and about checking out your space. This is what each booth will be judged on:
- Theme: this is the Vegreville Medieval Faire so we're looking for medieval type themes. Be creative and have some fun with this.
- Energy: this one's easy, happy smiley people create good energy.
- Company identification: your booth must define your company in the form of banners/signage etc.

Further to our Agreement/Contract, this is what you need for Insurance:
The exhibitor shall obtain and maintain at its own expense during the period commencing on the first move in date and terminating on the last move out date, a policy of insurance acceptable to Show Management. The policy of insurance shall name Show Management as loss insured and insure the exhibitor against all claims of any kind arising from or in any way connected with the exhibitor’s presence or operations at the show. The policy shall provide coverage of at least $2,000,000 for each separate occurrence. At the request of Show Management, the exhibitor shall provide Show Management with a copy of such policy.

Travelling in to Strathmore and need a place to stay?
After some phone calls and googling efforts, we recommend that you check out Expedia or other like services to book a room. We have found that Expedia gives a better deal than any room rate offered by a Hotel.
We have also had great success and recommend airbnb.

Display Fixture Rentals
While many exhibitors do already have their own display furniture, some do not. With this being an outdoor event, we will not have immediate access to a display rental company.
It will be your responsibility to provide your own tables and chair for this event.

Food and Beverage Sampling
Yes! you have a bit of paper work to get done. Please click on the following links and follow the directions supplied:
Applications are required to be submitted and approved 45 days prior to the show (on site approvals are no longer possible).
- AHS Food Vendor Package - PLEASE READ! You will find everything you need in this package.
Hand Washing Stations
AHS (edm.specialevents@albertahealthservices.ca) would be able to let you know exactly which type of sink is required, they take into consideration the food being sampled, food preparation, etc. It comes down to a case by case assessment depending on risk levels, once the AHS vendor form is submitted exhibitors are able to discuss questions and requirements directly with the AHS representative.

When it comes to emails, our best advice to you is to keep it short and sweet. Here's some tips to think about while your drafting it up:
- keep it short and sweet - the more information you have, the more complicated it becomes.
- Remember the purpose of your message and stay the course.
- For the purpose of getting out your invitation to attend, try to hold yourself back from adding in any other information. The idea here is to have them attend. If you add in a scroll worthy newsletter, your invite may get lost in the fray.

I'm excited to let you know that I'm going to be a Vendor at The Vegreville Medieval Faire & Artisan Market!
There's going to be real live jousting, re-enactments, magician and storyteller and an artisan marketplace. That's where you'll find me!
We'll be at the Vegreville Rodeo Grounds July 16-17 and I hope you can make it down.

Over the years, we have found facebook to be a great source of traffic for our events and it is our primary social media platform.
We ask that you participate in liking, commenting and sharing posts. The goal here is to get people clicking the interested or attending link on the event page. It's our direct route to their scrolling efforts and they will see our posts and consequently have more interest in attending the Marketplace.
